Spareclerk

The back-office clerk your business never hired.

Michael works with a small or mid-size business in any industry. A free workflow review maps how the work really moves, setup customizes the AI back office with optional backlog cleanup, and a monthly subscription keeps it running.

Illustration: stacks of paper on an office desk turn into gold cards that file themselves into a box.

The best employee is carrying the back office.

Mail goes unanswered, follow-ups slip, records go unlogged, and reports wait on the person who knows how to build them.

The person who knows the work is the person doing it. The pile grows when they are busy, selling, or out. A new hire still has to learn a process that lives in one person's head.

How it works

    1. Workflow review

    Free call

Michael maps how the work really moves, finds where the digital backlog is, and says whether a custom system fits. The call is free.

  2. Illustration: a pile of binders and loose paper beside a row of checked-off cards.

    2. Setup

One setup fee, sized to complexity and backlog

Setup is where Michael learns the workflow, collects the credentials and API access the business already has, and customizes the system. Clearing the digital backlog is optional, and leaving it out lowers the fee. If it is included, what gets cleared is listed and reported. One fee covers this work. The fee depends on how complex the workflow is and, if cleanup is included, how far behind the backlog is.

    3. Subscription

    Monthly

The customized system runs for your business. Michael monitors it, updates it, and grows it with the business. It stays in place through the monthly subscription.

Case study

A payments firm across many portals

A complex merchant-services business works across many vendor and processor portals. Its digital backlog stretched back more than a decade. An AI back office was built for that workflow, on the core platform.

Illustration: two card terminals beside a row of binders and a checklist sign.
  • Inbox agent

It triages mail and drafts replies. A person checks each draft before anything sends.

  • Case tracking

Cases are tracked automatically across portals.

  • Task and activity log

Tasks and the activity around them are logged as the work happens.

  • Terminal provisioning

Terminals are provisioned across several platforms.

  • Daily recaps and phone alerts

A recap goes out each day. Alerts go to a phone when a person needs to know.

It runs the desk every day: mail, cases, provisioning and alerts.

What the system includes

  • Custom build

Each AI back office is customized for one business, on the core platform. The agents follow the workflow from the review, and setup configures them. The business subscribes to the running system.

  • Email agent

The email agent triages the inbox and drafts replies. A person checks each draft before it sends.

  • Tasks and follow-ups

Tasks, follow-ups, and the activity around them are written down, so the work has a record.

  • Scheduling

The scheduling agent runs recurring steps when they are due, including reminders and the calendar work the workflow names.

  • Reporting

The reporting agent prepares the recaps and reports the workflow calls for.

  • Portal work

Portal work covers the repeated steps inside the sites the business already logs into.

  • Documents

Document work covers filing, finding, and drafting the documents the workflow names.

  • Dashboards and alerts

Dashboards show the backlog, the work in progress, and the work that is finished. When the workflow says a person should know, an alert goes to a phone.

  • Assistant console

An assistant console sits on every page of the system.

Who it is for

  • Small and mid-size businesses

Any industry can fit, when Michael can sit with the real workflow and see the whole back office. The workflow review is where he says whether the backlog and the daily process fit. Professional offices, payments firms, sales floors, and field crews are examples of the range.

  • Example: professional offices

Client email, documents, appointments, and reports that still get assembled by hand.

  • Example: payments firms

Many vendor and processor portals. Statements, cases, and terminal setup. The case study is this kind of business.

  • Example: sales floors

Lead follow-up, appointment confirmation, and a log of tasks and calls. Solar and home improvement are examples of this shape.

  • Example: trades and field crews

Job scheduling, customer follow-up, invoices, and paperwork that piles up while the crew is in the field.

How it stays safe

  • Your own credentials

The system uses the credentials and API access your business already has. Those are collected during setup.

  • Writes are scoped and logged

Every write action stays inside the workflow that was set, and each write is logged.

  • Confirm before send

Email replies are drafted for a person to check. They go out after that confirmation.

  • Guardrails on outside text

Prompt-injection guardrails keep a message the system reads from changing its instructions or from widening what it is allowed to do.

  • Monitored and updated

Michael monitors the system and updates it as the work changes. It also grows with the business. That continues under the subscription.

Questions

Who is this for?

Small and mid-size businesses in any industry. Payments firms and sales floors are examples of back offices Michael knows from the inside. The workflow review is where he says whether your backlog and your daily process fit.

What is a workflow review?

A free call. It looks at how the work actually moves, where the backlog is, and whether setup should start. Use the form on this page, email hello@spareclerk.com TODO, or call (631) 807-1305.

Whose logins does the system use?

Yours. During setup, Michael collects the credentials and API access the business already has, and the system works through that access.

How does email sending work?

The inbox agent triages mail and drafts the reply. A person confirms the draft, and then it sends. That check stays in place.

Is the system already built for my industry?

Each AI back office is customized for one business, on the core platform. The workflow review maps your work. Setup configures the agents for that workflow. You use the system by subscription.

What does the monthly subscription cover?

After setup, the customized system runs. Michael monitors it, updates it, and grows it with the business. That ongoing work is the monthly subscription.

How does pricing work?

One setup fee, then a monthly subscription. The workflow review is free. The setup fee covers learning the workflow and customizing the system. Clearing the digital backlog is optional and can be left out to lower the setup fee. The fee depends on how complex the workflow is and, if cleanup is included, how far behind the backlog is. The subscription keeps the customized system running, monitored, and updated, and it grows with the business.

Can it answer the phone?

Not yet. Phone agents are not a live product, and they are not part of a subscription now. Inbound is planned first: answer the call, book an appointment, take a message, and hand off to a person.

Book a workflow review.

Say what the backlog is and who carries it now. After the free workflow review, Michael will tell you whether setup and a monthly subscription are the right next step.
